Purpose of Position:      

The Hotel Sales Coordinator is responsible for coordinating generation of new business for the hotel operations and catering events from planning to execution. 

Job Responsibilities and Duties:

  • Serve as main point of contact for sales office.
  • Ensure that all phone calls are being answered with Casino’s guest service standards.
  • Work with clients to understand their needs, develop event timelines and menus.
  • Coordinate with Front Office(s) on daily showrooms and communicate the information to all sales and catering managers.
  • Assign group leads from all lead channels to the appropriate sales/catering managers.
  • Ensure that all leads are entered into on-property Sales & Catering Software application, STS Cloud (SalesandCatering.com experience a Plus).
  • Print and distribute group pick up and group cut off reports on a weekly basis for all assigned hotels.
  • Load all new groups and build booking links for all assigned hotels.
  • Conduct quarterly audits from Sales Systems and PMS systems to ensure accuracy.
  • Make reservations for Managers and input rooming lists for group sales managers.
  • Pull rooming lists for groups and managers upon request.
  • Actualize room blocks, catering & banquet functions in the sales system after the group’s departure for assigned hotel.
  • Schedule all in-house events and create BEOs (i.e. Pre-Shift Meetings, department meetings, etc.)
  • Run daily reports (transaction/ activities/ group in-house reader boards.  Run weekly reports (BEO/resume/daily events) for all assigned hotels.
  • Management and upkeep of the Master BEO binder for assigned hotel.
  • Print off the events report and write the groups in house for the next day, then hand deliver to housekeeping, valet, restaurant bar and front desk before daily stand up meeting for assigned hotel.
  • Coordinate with vendors and ensure that everything runs smoothly on event day.
  • Generate new business for catering division by reaching out to potential clients, respond to inquiries, and following up on leads.
  • Create marketing materials, such as brochures, and flyers, to promote catering services.
  • Provides excellent customer service to clients throughout the entire catering process.
  • Respond promptly to client inquires, address concerns, and complaints to ensure clients satisfied with catering services.
  • Performs administrative duties such as maintaining client records and files, contract and invoice preparation and tracking of sales and revenue data.
  • Coordinates the planning and execution of events including but not limited to corporate events, weddings, and social gatherings.
  • Participates in Sales Calls, Networking Events, Sales Blitz, etc.
  • Perform other duties as assigned

Education/Experience:

  • Associate of Arts or equivalent is required, unless otherwise waived by Human Resources Management.
  • Three (3) or more years of catering and event planning, or hotel sales support experience.
  • Excellent communication, interpersonal, and decision-making skills.
